Calendar sync

Calendar sync is a powerful tool in Eggmed that helps you manage your schedule efficiently by connecting your Eggmed calendar with external platforms like Google Calendar or Outlook. There are two types of sync available:

• One-way sync: Updates from Eggmed are pushed to your external calendar, but changes made on the external calendar won’t affect your Eggmed schedule. This is ideal if you want to keep your personal calendar updated with your professional schedule without worrying about external changes disrupting your appointments.
• Two-way sync: Updates are exchanged between Eggmed and your external calendar, allowing changes made on either calendar to reflect on both. This is best for those who manage all their appointments (personal and professional) on a single calendar platform and need real-time updates.

Both options ensure flexibility and adaptability to suit your scheduling needs.

Important note about HIPAA compliance

Before getting started, keep HIPAA compliance and data privacy in mind when using calendar sync. Only connect Eggmed with trusted, secure external calendars. Sensitive client information, such as session notes, will not be shared during the sync process to maintain confidentiality. Ensure the external platform meets data security standards before syncing.

How to activate calendar sync

To enable calendar synchronization:

1. Navigate to Settings > Practice Settings > Calendar Sync.
2. Toggle the Calendar Sync option to "On."
3. Choose between 1-way sync or 2-way sync based on your preference.

Name display options

The first parameter you can configure is the name that will appear on your external calendar. When selecting this option, ensure HIPAA compliance by choosing a level of client detail that aligns with privacy standards:

• Eggmed session/event: The most HIPAA-compliant choice, displaying only a generic name for all sessions or events (e.g., "Eggmed Session/Event"), ensuring no client information is visible.
• Client initials: Displays the client’s initials, such as "VW" for Virginia Worrymore.
• First name, last initial: Shows the client’s first name and the initial of their last name, such as "Virginia W."
• First initial, last name: Displays the first initial and full last name, such as "V. Worrymore."

Select the option that balances your scheduling needs with compliance and confidentiality requirements.

Enabling 1-way calendar sync

With 1-way sync, you can export your Eggmed calendar to external platforms like Google Calendar, iCal, or macOS Calendar. However, you can't modify or create Eggmed sessions from these calendars, nor will external events show on Eggmed. 1-way sync is perfect for viewing your Eggmed schedule alongside personal or other calendars while keeping Eggmed as the main scheduling tool. How to set up 1-way calendar sync

1. Access your Eggmed calendar settings:

Navigate to Settings > Practice Settings > Calendar Sync.‍

2. Generate your calendar URL:

In the 1-way sync section, you’ll find an option to generate a unique calendar URL. Copy this URL.

3. Add the URL to your external calendar:

Google Calendar:

1. Open your Google Calendar and go to Settings.
2. Select Add calendar > From URL.
3. Paste the copied URL into the field and click Add calendar.

iCal:

1. Open iCal, go to File > New Calendar Subscription.
2. Paste the URL and click Subscribe.

macOS Calendar:

1. Open the Calendar app, go to File > New Calendar Subscription.
2. Paste the URL and click Subscribe.

How to stop 1-way calendar sync

To disable the sync, simply remove or unsubscribe from the Eggmed calendar on your external platform:

• Google Calendar: Go to Settings, find the subscribed calendar, and choose Unsubscribe.
• iCal/macOS Calendar: Right-click on the calendar and select Delete or Unsubscribe.

Enabling 2-way calendar sync

With 2-way Google Calendar sync, you can view both your client appointments and personal events in a single calendar, allowing you to manage everything in one place. This ensures that your Eggmed schedule stays up to date with any changes made on your external calendar.

To enable 2-way sync, start by toggling on the calendar sync feature and selecting your preferred name display format from the dropdown. Next, scroll to the 2-way sync section and click the "Connect" button next to Google Calendar. Once synced, a "Synced" badge will appear.

By enabling 2-way sync, you agree to adhere to HIPAA compliance and safeguard calendar information, including Telehealth links. Your Eggmed appointments, including secure video links, will be synced with your external calendar, providing easy access to your sessions.

To disable the sync, simply click the "Disable" button.
